Features
Built for the way you actually sell.
VaultLedger is desktop software for people running real reselling operations — not a SaaS marketing dashboard. Every feature exists because a reseller asked for it.
Email parsing
Every order, automatically.
Connect Gmail, Outlook, Fastmail, or any IMAP server. VaultLedger reads order confirmations, shipping updates, refunds and returns from 17 retailers — and pairs each one to its sale.
Order confirmations from 17 retailers and marketplaces — Target, Best Buy, Amazon, Costco, GameStop, Pokémon Center, Walmart, eBay, Etsy, and more
Shipping + delivery updates auto-attached to the right line item
Refund and chargeback flow updates the ledger and your reported margin
Smart dedupe: forwarding chains, price-match emails, and partial refunds all collapse to one canonical order
Sales & margin
Net profit, per item, per channel.
Cost-of-goods → sale price → fees → shipping → net profit. The number you actually pay tax on, not a vanity GMV figure.
Per-channel fee schedules: eBay tier, StockX seller level, TCGPlayer Pro, Amazon FBA storage
Shipping label cost auto-deducted (Pirate Ship, ShipStation, manual)
Sales-tax tracking per state — surfaces what you collected vs. what you owe
Per-item ROI vs. portfolio ROI vs. cash-on-cash, side by side
Local-first
Your data lives on your machine.
There is no VaultLedger cloud database storing your orders. IMAP credentials sit in your OS keychain. Cross-device sync uses end-to-end-encrypted blobs we couldn’t decrypt if we wanted to.
SQLite database on disk, single file you can back up or delete
IMAP/SMTP credentials in macOS Keychain · Windows Credential Manager · libsecret
Cross-device sync via E2E-encrypted blobs (key never leaves your devices)
Plain-CSV export at any time — no lock-in, no proprietary format
